10 Ways to Accelerate Donor Relationships

  1. Keep accurate donor records!
  2. Track future contacts as you would existing contacts. They will become your future donor base.
  3. Always write thank you notes within 24 to 48 hours of receiving a gift. Don’t wait a week for your executive director to return from vacation or that conference he or she went to last week. Instead, have a back-up signatory and simply explain how you couldn’t wait a week to let them know how much their gift means to you. When the executive director returns, send a second thank you.
  4. Ask all board members to provide a list of 10 names of individuals who should be involved with your organization and are not currently. Have them schedule a meeting over coffee to introduce you to the individual.
  5. Keep loyal donors posted on your progress by sending brief updates or occasional email newsletters. Keep them up to date with activities and accomplishments. Be mindful of what program areas interest specific donors.
  6. Keep careful records of donor meetings so you can pick up where you left off when you meet again.
  7. Keep track of how your donors prefer to make their contributions. Anticipate any needs they may have or work on your end that will be needed prior to them making a gift.
  8. Collect media coverage and press release materials. Having a historical record helps prove your nonprofit’s legitimacy.
  9. Build personal relationships with staff and volunteers.
  10. Offer donors ways to volunteer. Offer volunteers ways to give. Involvement leads to ownership and ownership leads to giving. Increased involvement and ownership leads to larger gifts.
